Booking Policies

 

Check-In Time
 

4:00 p.m. If your arrival is earlier than 4 p.m. or you expect to arrive late in the evening, please give us a call so arrangements can be made.  All early check-ins must be approved prior to your arrival.  Same day requests may not be granted.  

 

Check-Out
 

10:00 a.m. on departure day in order for us to clean the property for the next guest.  All late check-outs must be approved by our office.  Same day requests may not be granted.  

 

Deposits
 

50% of total rental is due at time of booking. The final balance will be automatically charged 60 days prior to arrival. If you wish to use a different form of payment for the final balance, you must contact Iron Horse prior to the 60 day deadline. Visa, Mastercard, Discover, American Express, and checks are accepted. Checks must be mailed and received in the Iron Horse offices 60 days prior to arrival.

 

Cancellation
 

Cancellations must be made in writing. Reservations cancelled 60 days or more prior to arrival will receive a refund of monies paid less a cancellation fee of 5% of gross rental or the amount equivalent to one night stay in the reserved property, whichever is greater. The amount charged will be the published nightly rate for the dates reserved excluding taxes and fees. Cancellations 1-59 days prior to arrival date, all monies shall be forfeited.  We will make every effort to re-rent the home, in which case only the cancellation fee will be charged.

 

Services
 

Iron Horse Property Management will provide to each rental party, a clean home stocked with a starter kit of appropriate supplies including toilet paper, paper towels, soaps, shampoos, laundry detergent, dishwasher detergent, and trash bags. There will be a cleaning fee payable by tenant. (Cleaning charges vary based upon the property.) All units are equipped with, or have access to, a washer and dryer for guest use. Additional cleaning services may be arranged during the stay for an additional fee by calling Iron Horse and scheduling at least 2 weeks in advance of arrival date. During peak times more notice may be required. Cleaning services are scheduled on a first come first serve basis.

 

Pet Policy
 

Pets are NOT permitted in or on any of the rental properties with the exception of designated pet properties. Our staff can recommend local kennels for your pets, if desired. Violation of this policy shall result in immediate termination of the rental with no refunds of rent, tax, deposits, or other monies and shall result in a $200.00 penalty per pet plus the nightly pet fee being charged and additional cleaning fees. Pet designated properties are open to dogs (size and weight requirements vary by property) a daily pet fee and separate pet agreement will be required. All pets must be approved before arrival.

 

Vacation Rental Damage Protection
 

We include a $89.00 damage waiver for Vacation Rental Damage Protection on every rental which will provide the guest up to $3,000 worth of protection for accidental or inadvertent damage to the vacation property.

 

Travel Delay/ Cancellation
 

Weather conditions in Colorado can be extreme and change with little or no advance warning any time of the year. Guest understands and accepts this travel related risk and agrees that a refund cannot be given should a cancellation or delay be weather related. Iron Horse Property Management recommends that guest purchase travel insurance if this is a concern. We partner with Rental Guardian to provide you this optional coverage.
